Krowden email communication tips

Good email content and a proper plan can significantly increase your event pre-engagement. All shiny statistics will increase once you use this way of communication properly. In Krowden (formerly NetworkTables) we always suggest putting a lot of attention into your email communication. It’s the easiest and the most effective way to communicate with people attending your events.

Schedule your email communication – Planning is the first step to success, think about WhatWhenWho? What would you like to achieve with your emails, when would you like to send it and to whom? For example, as soon as you have a couple of attendees, you should welcome them and ask to take action (eg. update their profile), engage them early in your event. What next? Schedule it in steps.  It keeps you in peace to have the communication planned. If you’re not sure about your email schedule or need some advice, let us know.

Email reminders – Observe your segments’ situation and react. You asked people to choose their sessions but not a lot of them took action? React. Send a reminder, put a deadline. You want them to be engaged. First reminder didn’t work? Schedule a second one.

Make good use of subject lines – Be straight to the point. Remember to address a person directly and let them know what they’ll find inside your email. Don’t make it too long, email subject lines could get cut off, especially on mobile devices.

Keep messages clear and brief – Your welcome email could be too long, “call to action” might be too far down. Keep it sweet and short. Always remember, if someone opens the email on their phone – how far do they have to scroll down? If you want your attendees to choose sessions, make it clear and visible at the start of your email. Make it easy to read.

Be polite – This one is easy.

Check your tone – Wording positively affects relationship building. Think about how your email “feels” emotionally. Your intentions or emotions could be misunderstood, try finding a less ambiguous way to state your message.

Proofread – Keep it as the last part of your email preparation. Give yourself some rest and start examing your text carefully. You may find some typographical errors, grammar mistakes, style, and spelling. You can always use external software to check your content.
